Rajiv Gandhi University shall distinguish current information from material retained for historical, administrative or reference purposes.

Expiry and archival

Time-sensitive content, including notices, recruitment advertisements, tenders and event announcements, shall carry an expiry date or another clearly defined condition for archival.

When an item expires or is superseded, the responsible department shall arrange its removal from active listings and its transfer to an archive where appropriate. Archived content shall be clearly marked and retain its original publication date, issuing department and relevant amendments.

Superseded forms and instructions shall identify the current replacement wherever one is available. Closed notices shall not continue to appear as active opportunities.

Retention and disposal

Public archives shall retain material for [approved online archival period]. Further retention, transfer to restricted records storage or disposal shall follow the University's approved records retention schedule.

Archival does not automatically authorise deletion. Records required for statutory purposes, audit, research, pending proceedings or a preservation order shall be retained for the applicable period. Where no retention period has been approved, records shall be preserved pending an authorised decision.

Removal from public access for privacy or security reasons shall be considered separately from destruction of the underlying record.

Archival and disposal decisions shall record the authorising officer, date and reason.
